Job Title:  Newspaper Assistant
Salary:  $14.99 - $17.61 per hour
Reports to:  Editor
Supervises:  Not a Supervisory position

Summary: Under general supervision, performs a variety of administrative support functions for the Ak-Chin Runner newspaper staff. This is treated as a non-exempt position.

Minimum Qualifications: Experience equivalent to three years full time office support, secretarial, or closely related work; OR completion of a post high school course/program in Office Administration, General Business, or closely related area may substitute for one year of the required experience. Must be able to lift 50 lbs. Must possess a valid Arizona drivers license and be able to meet the Community's insurance carrier requirements (see list on website or attached to application.) Must successfully complete and pass a background check.

Hiring Preference: The Community affords Indian Preference and Veterans' preference. In applying Indian Preference, preference will be given to qualified Community members, then to qualified Native Americans, and then other qualified candidates. Except as otherwise stated herein, all candidates will receive consideration without regard to race, color, sex, age, disability, religion, national origin, or other non-merit factor. Applicants wishing to claim Indian Preference must submit a Certificate of Indian Blood or proof of tribal enrollment at the time of application. All applicants wishing to claim Veterans' Preference must submit a copy of a certified Department of Defense DD Form 214 "Certificate of Release or Discharge from Active Duty."

Duties and Responsibilities

  1. Maintains and updates the subscription list. Ensures that subscribers and their addresses are correct and valid.
  2. Uses computer software to format and combine text, numerical data, photographs, charts, and other visual graphic elements to produce publication-ready material.
  3. Prepares and mails accurate invoices each month for desktop publishing orders, subscribers, display, classified and other advertisements.
  4. Sends out late notices to advertisers/customers as needed. Updates and maintains invoices, handles financial transactions and recordkeeping.
  5. Records all transactions, post credits, produces financial statements, and prepares reports and summaries for supervisor.
  6. Fields follow-up questions from customers and resolves any discrepancies or errors.
  7. Obtains, submits and ensures that printing requests are completed and delivered.
  8. Organizes and maintains files/records for supervisor/unit, following up on pending orders.
  9. Requisitions supplies and inventories deliveries;
  10. Coordinates conference attendance and travel arrangements;
  11. Answers a variety of questions from the public regarding printing costs, subscriptions, rates, advertisements, etc.;
  12. Establishes and maintains effective working relationships with other staff, department heads and the public;
  13. Performs other work-related duties as assigned.

Other Requirements:

  • Knowledge of budgetary procedures and bookkeeping.
  • Knowledge of the principles and practices of office management.
  • Knowledge of a variety of computer software, including word processing, database and spreadsheet applications.
  • Skill in preparing a variety of records, reports, and correspondence using appropriate format and computer software.
  • Skill in analyzing and interpreting policies and procedures to staff and the public.
  • Skill in maintaining filing/records systems.
  • Skill in following complex oral and written instructions, policies and procedures.
  • Skill in operating a variety of office equipment, including work processor, computer terminal, typewriter, adding machines and telephone.
  • Ability to perform addition, subtraction, multiplication and division, calculate decimals and percentages; and may include ability to perform mathematical operations with fractions, compute discount, interest and ratios.
